Phones and front desk

AI receptionist and AI phone agent that answers, books, and routes your calls

HaveSight sets up an AI phone agent that answers your business line with a warm greeting, books appointments inside your business hours, transfers existing clients to you live, and takes a detailed message when you cannot pick up. Calls are logged in your customer records with a summary and transcript, and you are notified shortly after each call that needs you. It answers inbound calls; it does not make sales calls.

What it handles

Call routing:

clients are put through to you, and vendors and solicitors are screened. The agent learns who is calling and why before deciding where the call goes.

After-hours answering:

an AI answering service for evenings and weekends that sets a clear expectation for when you will reply.

Lead capture:

new callers become a record with a name, number, reason, and suggested next step, instead of a missed call.

Less phone time:

you take the calls that need you and read summaries of the rest.

A call, start to finish

  1. 01

    A warm greeting.

The agent answers in your business's name, in a friendly, natural voice, says it is an AI assistant, and asks how it can help. If you record calls, the greeting includes a short recording notice.

  2. 02

    It learns why they called.

Name, number, company or project, the reason for the call, and how urgent it is.

  3. 03

    It books within your rules.

If the caller wants a meeting, the agent offers open times from your booking calendar, only within the business hours and rules you set, and confirms while they are on the line.

  4. 04

    Clients can reach you live.

During the hours you choose, callers the agent recognizes as clients are transferred to you. If you do not answer, or it is outside those hours, the agent takes a detailed message and tells the caller when to expect a callback.

  5. 05

    Vendors and spam are screened.

Sales pitches, solicitors, and spam calls are politely wrapped up and logged, without interrupting you. If the agent is unsure, it takes a message instead of turning the caller away.

  6. 06

    Every call is logged.

A summary and transcript are saved to the caller's record in your customer records, along with the recording if you choose to record calls, plus any follow-up and who owns it.

  7. 07

    You are notified right away.

Client callback requests and new leads reach you by email shortly after the call ends, with the summary and a link to the full record.

  8. 08

    Follow up by text.

Follow-up goes out by text first, only to callers who agreed to get a text, with an easy way to opt out, so they get a quick reply that fits their day.

What you control

  • Your greeting and how the agent describes your business.
  • Business hours for booking, and separate hours for live transfers.
  • Who counts as a client for live transfers, and what happens when you do not pick up.
  • Which calls notify you, and where the notifications go.
  • What the agent may say about pricing and availability. By default it does not quote prices or make commitments.
  • Follow-up wording and timing.
  • Whether the greeting says it is an AI assistant (on by default) and whether calls are recorded, with the notice wording you choose.
  • Who gets text follow-ups, and the opt-in and opt-out wording.

You can change any of these as your business changes.

What goes out on its own, and what waits for you

Goes out on its own, once you approve the wording and the rules: missed-call text-backs, appointment confirmations and reminders, reminders on unsigned quotes and unpaid invoices, and review requests to customers after a finished job. Texts go only to people who contacted you or agreed to hear from you, and every text includes an easy way to opt out.

Always waits for your approval: new or one-off messages to a client, prices, estimates, proposals, contracts and invoices, anything that commits you to something, anything involving money, and anything that gets published.

You can change these rules at any time.

Setup, step by step

  1. 01

    Intro call.

We talk through how calls reach you today, who should get through, and what a good outcome looks like.

  2. 02

    Design the call flow.

Together we write the greeting, the questions, the booking rules, the transfer rules, and the screening rules.

  3. 03

    Connect your tools.

Your phone number, booking calendar, CRM or customer records, and notifications.

  4. 04

    Test with real scenarios.

A new prospect, an existing client, an after-hours call, a vendor, and a spam call, before anything goes live.

  5. 05

    Go live and tune.

We watch real calls with you and adjust the wording and rules until it sounds like your business.

Where it fits, and where it does not

Good fit: you miss calls while working, you want existing clients to reach you without taking every sales call, and you would rather read a summary than listen to voicemail.

Probably not a fit: every call needs a long, judgment-heavy conversation with you from the first second, or your call volume is so low that a simple voicemail works fine. We will tell you that plainly.

FAQ

An AI phone agent, sometimes called an AI voice agent, answers your business line in a natural voice, learns why the caller is calling, and then books, transfers, takes a message, or screens the call according to rules you set. Calls are logged with a summary and transcript.

An AI answering service mainly answers calls and takes messages. An AI receptionist does that and also books appointments within your business hours, transfers existing clients to you live, screens vendors and spam, logs each call in your customer records, and notifies you.

Yes. By default the greeting says it is an AI assistant, and if you record calls we add a recording notice. Callers tend to care most that their call was answered and that they were told what happens next.

Yes. During the hours you choose, existing clients can be transferred to you live. If you do not pick up, or it is outside those hours, the agent takes a detailed message instead.

Not by default. The agent captures what the caller needs and passes it to you. Anything involving prices, commitments, or money stays with you.

Into your customer records. Each call is saved with a summary, the transcript, and any follow-up. If you choose to record calls, the recording is saved too, and callers hear a notice.

It depends on your call flow, how many rules you need, and the tools involved, such as your phone number, calendar, and customer records. We will give you a clear plan after the intro call.

Only if you want it to. If calls are recorded, the greeting tells callers, and the recording is saved with the call record. Some states require every party to agree to a recording, so we set the notice wording with you.

The agent asks how urgent the call is, and urgent requests are marked in the notification you get. During your transfer hours, clients can be put through live. The agent cannot judge every situation, so we test urgent scenarios with you before it goes live.

Yes, for callers who agree to a text. Follow-up texts use wording you approve and include an easy way to opt out.
